ZATCA e-invoicing

ZATCA e-invoicing for dental clinics in Saudi Arabia

Phase two is not a format change, it is a clearance step: the invoice has to be sent to the authority and come back approved before it is given to the patient. That only works if it happens inside the system already issuing the invoice.

What phase two actually requires

Phase one asked for a structured invoice with a QR code. Phase two asks for integration: standard invoices cleared with ZATCA before issue, simplified invoices reported after, and a cryptographic stamp on both. A clinic issuing invoices by hand cannot meet it.

  • Standard invoices cleared with the authority before the patient receives them
  • Simplified invoices reported within the required window
  • Cryptographic stamp and UUID on every document
  • QR code carrying seller, VAT number, timestamp, total and VAT
  • Arabic invoices, with English alongside where wanted

Credit notes and corrections are part of it

Most of the difficulty in practice is not the first invoice, it is what happens afterwards. A refund, a correction, a partially reversed treatment — each needs its own compliant document linked to the original.

  • Credit and debit notes referencing the original invoice
  • Reasons recorded, which the authority expects
  • Nothing edited after clearance, because a cleared invoice cannot be edited
  • The full audit trail kept, per branch and per VAT registration

Where it goes wrong for clinics

The failure modes are mundane and they are all about the data the invoice is built from: a VAT number entered once and never checked, a price list without tax treatment, a branch trading under a registration that is not its own.

  • VAT registration held per branch, not per account
  • Tax treatment on the price list rather than typed per invoice
  • Clearance failures raised as a task rather than logged and forgotten
  • Status visible on the invoice: cleared, reported, failed, retried

Who this matters to

ZATCA compliance is an owner’s risk and a front desk’s daily routine.

Clinic owners in Saudi Arabia

A defensible position at audit, rather than a folder of PDFs.

Front desk

Issues an invoice the normal way; clearance happens behind it.

Accountants

Gets the structured records and the audit trail without asking the clinic to assemble them.

By hand, and with Dentolize

Compliance bolted on after the fact is where most of the cost sits.

Doing it by hand

  • Invoices formatted manually
  • QR codes generated separately
  • Credit notes as free text
  • Clearance failures discovered later
  • One VAT registration for everything

With Dentolize

  • Cleared with ZATCA as they are issued
  • QR on every invoice automatically
  • Compliant notes linked to the original invoice
  • Failures raised as a task with the reason
  • Registration held per branch
Questions

ZATCA e-invoicing — frequently asked

Does Dentolize support ZATCA phase two?

Yes. Standard invoices are cleared with the authority before issue and simplified invoices are reported, both with the cryptographic stamp and QR code.

Are invoices issued in Arabic?

Yes, in Arabic as required, with English alongside where the clinic wants it.

What happens if clearance fails?

The invoice shows its status and the failure is raised as a task with the reason, rather than logged somewhere nobody reads.

Can a cleared invoice be corrected?

Not edited — corrected, with a credit or debit note referencing the original and a recorded reason, which is what the authority expects.

Does each branch need its own VAT registration?

Where a branch trades under its own registration, yes, and Dentolize holds registration details per branch rather than once per account.
