Lab orders

Dental lab management and case tracking

A crown goes to the lab as an order attached to the tooth, with a due date the front desk can see. Nothing is tracked on a sticky note, and nobody discovers on the day that the case has not come back.

Cases tied to the tooth, not to a notebook

A lab order is created from the chart, so it carries the patient, the tooth, the shade and the procedure. When the work returns it is received against the same record and the appointment can go ahead.

  • Orders created from the treatment plan or the chart
  • Tooth, shade, material and instructions on the order
  • Multiple labs, each with their own price list and turnaround
  • Attachments for scans, photographs and prescriptions

Due dates the whole clinic can see

Every open case has a due date, and appointments that depend on one show it. The front desk stops phoning the lab to ask, and stops seating patients whose work has not arrived.

  • Open cases with due dates on the dashboard
  • Lab icon on the appointment when a case is outstanding
  • Overdue cases flagged before the patient arrives
  • Received and fitted states recorded against the order

Lab costs that reach the accounts

What the lab charges belongs against the case that produced it, so the margin on a crown is a number you can see rather than an average you assume.

  • Lab fee recorded per case and per supplier
  • Costs linked to the invoice the work was billed on
  • Supplier statements and outstanding balances per lab
  • Reporting on lab spend by branch and by procedure

Who depends on lab tracking

Lab work is the commonest reason an appointment is wasted, and it is almost always a tracking failure rather than a lab failure.

Dentists

Whether the case is back, what shade was sent, and what the lab was told.

Front desk

Which appointments depend on a case that has not arrived, before the patient does.

Owners

What each lab costs, how often it is late, and the real margin on lab-based work.

A sticky note versus case tracking

Most clinics track lab work on paper, and find out it went wrong when a patient is sitting in the chair.

Doing it by hand

  • Cases tracked on a note at the desk
  • Due dates held in someone’s head
  • Chasing the lab by phone
  • Lab invoices reconciled at month-end
  • Margin on a crown assumed

With Dentolize

  • Cases attached to the tooth and the patient
  • Due dates visible on the appointment
  • Open and overdue cases listed on the dashboard
  • Lab fees recorded against the case
  • Margin calculated from the actual lab cost
Questions

Lab orders — frequently asked

How are lab orders created?

From the chart or the treatment plan, so the order already carries the patient, the tooth, the procedure, the shade and any instructions or attachments.

Can I work with more than one lab?

Yes. Each lab is a supplier with its own price list and expected turnaround, and cases are assigned to whichever one the work is going to.

Will I know if a case is late?

Yes. Open cases carry a due date and overdue ones are flagged, and any appointment that depends on a case shows a lab icon so the front desk sees it before the patient arrives.

Are lab costs linked to the invoice?

Yes. The lab fee is recorded against the case and therefore against the treatment it belongs to, which is what makes per-procedure margin reporting possible.

Can the lab see the case?

Orders can be shared as a document or a QR link containing the prescription and attachments, so the lab has what it needs without access to your patient records.
