Clinic treasury and cash management

Cash drawer, bank account and card terminal, each with its own running balance, and every movement between them assigned to a person and confirmed with a receipt. The treasury reconciles because nothing enters it unattributed.

An account for every place money sits

Cash in the drawer, the bank account, the card terminal and petty cash each have their own balance per branch. A payment taken at reception lands in the account it was actually paid into, so the totals mean something.

  • Separate balances for cash, bank, card and petty cash
  • Per branch, so a group is not looking at one merged pot
  • Transfers between accounts recorded as movements, not adjustments
  • Opening balances and period closing per account

Every transaction has a name against it

A deposit, a supplier payment or a petty cash withdrawal is assigned to the staff member who handled it and confirmed by uploading the receipt. An unconfirmed transaction stays visible until somebody closes it.

  • Assignment to a named user on every movement
  • Receipt upload to confirm, with the document kept on the record
  • Awaiting-confirmation state so nothing quietly disappears
  • Full audit trail of who created, edited or deleted an entry

Reconciliation that is not a monthly ordeal

Because payments come from invoices and expenses come from suppliers, the treasury is the sum of things that already happened. Closing the day is a check rather than a rebuild.

  • Daily close per branch and per account
  • Variance between expected and counted cash, recorded not hidden
  • Movements exportable for the accountant
  • Permissions deciding who can move money and who can only look

Who touches the treasury

Cash is where trust and process meet, so the module is built around attribution rather than around convenience.

Owners

What is in each account, in each branch, right now — and who moved what.

Branch managers

Daily close for their own branch, with variances recorded rather than absorbed.

Accountants

A reconciled ledger with a receipt behind every movement, exportable for the books.

A cash box versus a treasury

Most clinics can say what they earned. Far fewer can say where it currently is.

Doing it by hand

  • One pot of cash for everything
  • Movements remembered, not recorded
  • Receipts in an envelope
  • Variances absorbed quietly
  • Reconciliation rebuilt each month

With Dentolize

  • A balance per account, per branch
  • Every movement assigned to a person
  • Receipts uploaded against the transaction
  • Variances recorded at daily close
  • Reconciliation is a check, not a rebuild
Questions

Treasury — frequently asked

What is a clinic treasury module for?

It tracks where money physically is — cash drawer, bank, card terminal, petty cash — as distinct accounts per branch, and records every movement between them with the person responsible and a receipt.

Can I stop staff editing cash entries?

Yes. Permission groups decide who can create, confirm, edit or delete a treasury entry, and every action is written to the audit log with a name and a timestamp.

Does it handle multiple branches?

Yes. Each branch has its own accounts and its own daily close, while owners see all of them together and can compare.

What happens if the cash does not match?

The variance is recorded against the close rather than silently adjusted, so a pattern is visible over time instead of disappearing each night.

Can transactions be confirmed with a receipt?

Yes, and until one is uploaded the transaction stays in an awaiting state, so nothing closes without evidence behind it.
