Inventory

Dental inventory management software

Stock comes off the shelf when the procedure is completed, not when someone remembers to update a spreadsheet. A composite filling deducts its own materials, expiry dates are watched, and the reorder warning arrives before the shelf is empty.

Stock that deducts itself

Link materials to procedures once and the deduction happens as work is recorded. The chart is already capturing what was done, so the inventory follows without a second entry.

  • Materials linked to procedures and treatments
  • Automatic deduction as operations are completed
  • Manual items for anything not tied to a procedure
  • Usage by procedure, so you can see what a crown really costs
  • Per-branch stock, with transfers between locations

Expiry and reorder, watched for you

Dental stock expires. Dentolize holds the expiry date per batch and warns you before it passes, alongside a projection of when each item runs out at your current rate of use.

  • Expiry date per item and per batch, with warnings
  • Projected run-out based on actual consumption
  • Reorder level per item, with an alert when it is reached
  • Low-stock and expiring lists on the dashboard

Purchase orders, transfers and stock takes

Ordering from a supplier, moving stock between branches, counting the shelf and returning faulty goods are all recorded movements, so the number on screen matches the room.

  • Purchase orders raised against a supplier
  • Internal transfers between branches
  • Stock takes that record the count and the adjustment
  • Returns to supplier, with the credit tracked
  • Stock value per branch as a live figure

Who runs the stock room

Inventory is usually nobody’s job until something runs out mid-procedure.

Clinical staff

Nothing to do: recording the treatment is what moves the stock.

Practice managers

Reorder alerts, expiry warnings and purchase orders in one place, per branch.

Owners

Stock value on the balance sheet, and the real material cost of each procedure.

A spreadsheet versus live inventory

The stock spreadsheet is accurate on the day it is written and wrong the day after.

Doing it by hand

  • Stock counted when something runs out
  • Expiry noticed on the shelf
  • Reordering from memory
  • Branch stock guessed at
  • Material cost unknown

With Dentolize

  • Stock deducted as procedures complete
  • Expiry warned before it passes
  • Reorder alerts at the level you set
  • Stock per branch, with recorded transfers
  • Consumption reported by procedure
Questions

Inventory — frequently asked

How does automatic stock deduction work?

You link materials to procedures once. When a procedure is marked complete on the chart, the materials it uses come off that branch’s stock automatically — no second entry.

Does it track expiry dates?

Yes, per item and per batch, with a warning list before anything expires so it can be used or written off deliberately rather than found later.

Can I manage stock across branches?

Yes. Each branch has its own stock, and moving items between them is recorded as an internal transfer rather than an untracked adjustment.

Will it tell me when to reorder?

Yes. Set a reorder level per item and Dentolize alerts you when it is reached, and also projects run-out based on how fast you are actually consuming it.

Can I raise purchase orders?

Yes, against a supplier, with the order tracked until it is received and the stock added on arrival.
