Dental clinic software in Saudi Arabia: what actually differs

In Saudi Arabia dental software is not chosen on looks or price but on two questions: does insurance go through NPHIES from inside the visit? And is the invoice cleared with ZATCA at the moment it is issued? Everything else comes after.

Insurance is half the clinic's revenue, and NPHIES is its road

Most dental patients in Saudi medical complexes are insured. A clinic that checks eligibility in a second portal, sends approvals by email and tracks claims in Excel works in three systems and pays for the gaps between them.

The right software checks eligibility at check-in against the saved policy, sends the prior approval from the treatment plan itself with the x-rays, submits the claim from the invoice, tracks it to the bank transfer, and classifies rejections by reason so the pattern shows. All through NPHIES, from one screen.

E-invoicing: clearance is part of issuing

Phase 2 of e-invoicing means the invoice is cleared with the Zakat, Tax and Customs Authority at the moment it is issued, with a QR code and cryptographic stamp. Software that issues the invoice and uploads it in a later batch means an extra step every day and a rejection discovered at month end.

A dental invoice is particularly complex: the insurance share and the patient share on the same invoice, tax on the taxable part, and a credit note on amendment linked to the original invoice.

Licensing, regulation and documentation

Saudi regulators ask for the visit record, consents and prescriptions in Arabic, and for who opened the file and who changed it. The software needs a fully Arabic clinical record, electronic consent forms per procedure, and an activity log of every change by user name. These are not extra features; they are what is asked for at any inspection visit.

A tooth chart in Arabic, not a translated layer

A right-to-left interface throughout, the chart with the usual tooth numbering, invoices and messages in Arabic, and English for the dentist who prefers it. Machine-translated software gives itself away in the first menu: "practice", "referrer", "insurer", and "permit" where clearance should be.

Branches in different cities

A group with a branch in Riyadh and another in Jeddah needs one patient file across both, treasury and stock per branch, an NPHIES code per branch, an invoice sequence per branch, and a group report on the same metrics. Permissions follow the branch: the Jeddah manager does not see the Riyadh treasury.

WhatsApp on the verified number

Confirmation, reminders, post-extraction instructions, a payment link with mada and Apple Pay, and the cleaning recall: all on WhatsApp Business from the clinic's verified number, in Arabic or English by the patient's language, and kept in the file.

Support and training in Arabic, from Riyadh

Software supported by a team in another time zone in another language leaves you alone on a busy morning. Ask where the support team is, whether training is in Arabic and on site for complexes, and whether they have clients in your city you can call.

How to run the demo

Bring 3 cases: an insured patient needing approval for a crown, an invoice with an insurance share, a patient share and tax, and a rejected claim from last month. Ask for them to be run in front of you through NPHIES and ZATCA, then for the rejection report by reason. If the demo moves to another portal at any step, you have your answer.

Questions

Does dental software have to connect to NPHIES?

For clinics that accept insurance, in practice yes. Eligibility, approval and claims go through NPHIES, and software not connected to it means a second portal and double entry.

Does it work with every insurer?

With every company registered on NPHIES, and each company has its own price list and approval rules in the system.

What about a branch in Egypt or Kuwait?

The branch is set up with its currency, taxes and requirements in the same account, with one patient file across branches if you want it.

How long does go-live take for a three-branch complex?

Weeks: setting up branches, NPHIES codes and price lists, migrating patients and training, with Arabic support from Riyadh after launch.
