Google reviews for dental clinics: when to ask, whom to ask, and how to reply to a negative review

The patient who waited an hour or felt pain during a filling writes their Google review on the way to the car. The one who left satisfied writes nothing unless asked at the right moment. Your clinic's Google rating is simply the difference between those two behaviours, and which one you built a system for.

The new patient reads the reviews before calling

In dentistry especially, the patient searches "dental clinic near me" and compares three clinics on the map by stars, review count and the latest comment. A clinic at 4.3 stars from 40 reviews loses to one at 4.8 from 300, even if it is clinically better.

The number does not move with advertising; it moves with the number of new reviews per month, and that is a number the clinic can control.

Ask after the session, not after the plan

The right moment is the end of a session the patient left happy with: after a cleaning, after a crown is fitted, after pain is gone. Not after an expensive treatment plan they have not started, and not after a surgical extraction while the swelling is still there.

The question arrives on WhatsApp two hours later: one question, 1 to 5. Whoever answers 4 or 5 gets the Google review link straight away with a short thank-you. Whoever answers lower does not get the link; they get a call from the manager the same day.

Do not ask everyone, and do not offer an incentive

Sending the link only to satisfied patients is not a trick; it is routing: the dissatisfied patient needs a call, not a link. Offering a discount or gift for a review breaks Google's rules, exposes the listing to penalties, and the reviews it produces look fake to anyone reading them.

The request does not repeat: a patient asked on one visit is not asked on the next within three months, and one who wrote a review is not asked again.

The reply to a negative review is read by a hundred people

The patient who wrote the negative review reads it once; prospective patients read it a hundred times, and they read your reply with it. Reply within 24 hours, in the clinic's name, thanking and apologising for the experience without arguing, inviting the patient to get in touch directly on a specific number, and never mentioning any clinical or financial detail about the patient in public.

A reply that argues or blames the patient loses a hundred readers to win an argument. A calm reply turns the negative review into evidence that the clinic listens.

Internal feedback protects the public rating

The internal request after every session is not only for collecting stars; it is an early warning. A low score creates a task for a named person the same day, so the patient is called before they write. Repeated low scores for a dentist or a particular waiting hour show as a pattern to fix.

A link per branch

A clinic with branches needs a Google listing per branch and a review link per branch, and the message carries the link of the branch the patient visited. The report compares branches: new reviews, average, and late replies.

What to ask of the software

An automatic review request after the session on WhatsApp with one question, satisfied patients routed to the branch's Google link and the rest to a named task, a repeat limit, a report of scores per dentist, branch and service, and complaint follow-up to closure.

Questions

When should I ask a patient for a Google review?

Two hours after a session they left happy with, on WhatsApp. Not after an expensive plan and not after a surgical extraction.

Should I ask every patient?

The internal question goes to everyone; the Google link goes to those who gave a good score. The dissatisfied patient needs a call, not a link.

Can I offer a discount for a review?

No. It breaks Google's rules, exposes the listing to penalties, and incentivised reviews look fake.

How do I reply to an unfair negative review?

Calmly and within 24 hours: thanks, an apology for the experience and an invitation to get in touch directly, with no argument and no clinical or financial detail in public. Readers judge the reply, not the review.

Can a negative review be deleted?

Only if it breaks Google's policies (abuse, or a review from someone who was never a patient). An honest negative review is answered, not deleted.

How do I know the system is working?

By the number of new reviews per month and the average per branch compared with last month, and by the share of low internal scores that turned into a call.
