Dental recall system: how patients come back every 6 months without anyone remembering
Every patient who leaves the clinic after a cleaning, a filling or a crown is an appointment six months from now. Most clinics lose that appointment because nobody recorded it, or recorded it on paper, or remembered it a year later. A recall system is the difference between a clinic that lives on advertising and one that lives on its patients.
The returning patient is the cheapest patient in the clinic
A new patient costs an ad, a call, a long first visit and a plan that may not be accepted. A returning patient costs a WhatsApp message, arrives with a plan already accepted, trusts the dentist and refers others. Yet most clinics spend on the first and leave the second to chance.
A clinic that examines 200 patients a month and recalls 50% of them successfully adds 100 visits a month without an ad. And the number compounds: last month's patients, the month before, and six months ago.
Who gets recalled: not everyone every 6 months
A routine cleaning every 6 months for most, every 3 months for periodontal patients, yearly for x-rays, after 3 months to uncover an implant, every 4 weeks for orthodontics. The recall interval is set at the end of the visit according to the case, not by one rule for everyone.
Then there are treatment recalls: a patient who postponed a filling or a crown is not a routine recall but a postponed-plan follow-up, and the message is different.
When to send the message and how to word it
The first message two weeks before the due date, in the patient's language, naming the reason rather than the clinic: "Your routine dental cleaning is due; your last visit was in March. Which day suits you?" It carries a booking link from which the patient picks a time directly, without a call.
Whoever does not reply gets a reminder two weeks later, then a call from reception for anyone who has not replied twice, because a patient who answered a call keeps the appointment more often than one who answered a message.
The system recalls, reception follows up
Recall cannot be done from memory or from an Excel sheet, because it stops in the first busy month. The interval is recorded on the patient file at the end of the visit, the messages go out automatically on time, and every morning reception sees a list of who was recalled and did not reply.
That turns reception from "who do we call today?" into a list of specific names with a reason.
Measure response, not sending
The number of messages sent means nothing. The numbers that matter: the share who booked from the first message, from the second, from the call, and who actually attended. If response is under 30%, the problem is the wording, the timing, or a link that does not work.
Response is read by recall type: a cleaning recall differs from an implant recall, and both differ from a postponed-plan follow-up.
Recall in a paediatric dental clinic
In a children's dental clinic the guardian is recalled, not the child, and often for more than one child in the same household. The message groups the children into one appointment, goes to the registered guardian's phone, and offers after-school times.
What to ask of the software
A recall interval set per patient and per case at the end of the visit, automatic messages in the patient's language with a booking link, a daily list of non-responders, a report of response rate by type and by branch, and a stop for anyone who opts out.

Questions
How many times do we remind a patient before stopping?
Usually two messages and one call, then the routine recall stops and the patient stays in a "lapsed" list for a later campaign. Pushing harder than that does harm.
Does the recall interval differ between patients?
Yes, it is set at the end of each visit according to the case: 6 months for cleaning, 3 for periodontal, and so on, and the dentist can change it for any patient.
Can the patient book directly from the message?
Yes, a booking link in the message shows the times actually available, and the booking lands in the diary and is confirmed to the patient without a call.
How do we know the recall is working?
By the response rate: who booked and attended among those recalled, per recall type and per branch, compared with last month.
Is a recall sent to someone with an overdue balance?
That can be set: the recall with a balance reminder, or held until payment, according to clinic policy.
What about patients who have not visited for two years?
A separate win-back campaign with a different message and a specific offer, sent to the "lapsed over a year" list once or twice a year.
