Dental implant tracking: the implant is a part with a number, the case is a path with stages

A patient comes back after three years with a loose implant and asks about the warranty. Which implant? Which brand? Which lot? Who placed it? In most clinics the answer is a slip in a file, or nothing. Implants are precisely the procedure where everything needs to stay written for years, because the price is high, the stages are long, and the questions arrive late.

An implant is not a service; it is a stock item with an identity

A filling is consumed and forgotten. An implant is a part with a manufacturer, a system, a diameter, a length, a lot number, an expiry date and a manufacturer's warranty. When it is deducted from stock it should be deducted by its identity, not as a generic "implant".

The right moment to record it is placement: the lot is scanned or typed onto the case, the item is deducted from stock under the same number, and a photo of the packaging label is kept if possible. Three years later the warranty question takes one second.

An implant case is a path of 4 stages, not one appointment

Consultation, imaging and planning; then placement; then healing (3 to 6 months); then uncovering and the final restoration, sometimes with bone grafting before all of that. A patient who had an implant placed and forgot to return for the crown is an incomplete case who paid for a part and did not get a tooth.

One case in the system carries the stages with expected dates, reminds the patient automatically when the healing period is over, and shows the clinic a list of "implants not completed".

The true cost is calculated on the case

Implants are the highest-value procedure and the one with the most hidden costs: the fixture, the abutment, the crown, lab fees, grafting materials and surgeon time. When all of these are recorded on the case, the real implant margin appears, and it differs between implant brands and between dentists.

This is also where the dentist's share question appears: is it calculated on the full price or after deducting the implant and the lab? Agreements differ, but the number has to be visible to both sides from the same case.

Informed consent before placement

Implant placement is a surgical procedure with possible complications and alternatives. An implant-specific consent form (not a general one) is signed by the patient before the session and kept on the case with the imaging the plan was based on. If a patient asks about a complication a year later, the form and the imaging are where they should be.

Warranty: what the clinic guarantees and what the manufacturer guarantees

The manufacturer's warranty covers the implant itself; the clinic's covers the work; and each has its own conditions (follow-up visits, care, smoking). The written agreement sets out both, and the system keeps the lot number the implant company asks for on any warranty claim.

A clinic with this record can also find out, two years on, the failure rate of each implant brand it uses, a number that changes purchasing decisions.

Follow-up after the restoration

A successful implant needs a visit every 6 months and cleaning around the implant. The patient who does not come back is the one who returns after three years with a problem. The recall is set on the case at the interval the dentist chooses and goes out on WhatsApp without anyone remembering it.

What to ask of the software

The implant recorded by identity on the case at the moment of use, deducted from stock by lot, stages with dates and reminders, the full cost on the case, an implant-specific consent form, and a report of incomplete implants and failure rate per brand.

Questions

Is the implant lot number recorded on the patient file?

Yes, at placement, with the brand, diameter and length, and the same item is deducted from stock. That is what implant companies ask for on warranty claims.

How do we follow up patients who had implants placed and never came back for the crown?

The case carries the restoration stage with an expected date, overdue cases appear in a list, and the patient gets an automatic reminder after the healing period.

Are implant and lab costs counted in case profit?

Yes, each is recorded on the case, so the real margin shows, and it is deducted from the dentist's share or not according to the clinic's agreement.

Does the patient need an implant-specific consent form?

Yes, one that covers complications, alternatives and warranty conditions, signed from the phone and kept with the imaging on the case.

Can we see the failure rate of each implant brand?

Yes, if implants are recorded by identity and removals and replacements are recorded on the case, the report comes out per brand and per dentist.

What about implants in a multi-branch group?

The case follows the patient across branches, stock belongs to each branch, and the report covers the whole group, so you know which branch uses which brand.
