Orthodontic payment plan calculator

Braces are agreed once and paid for over eighteen months. Put in the fee, the down payment and the length of treatment, and get the instalment, a dated schedule with the balance after every payment, and an agreement the patient signs before the appliance goes on.

How to use it

  1. Describe the case

Treatment type, arches, the expected length in months and the day the appliance goes on. The down payment falls due that day.

  2. Set the fees

The treatment fee, any discount, an administration fee if you charge one, and VAT only if your clinic applies it to this treatment.

  3. Choose how it is paid

Down payment as an amount or a percentage, then monthly or every four weeks, spread over the treatment or finishing a few months early.

  4. Print the agreement

Download PDF gives a one-page agreement with the schedule, your terms and signature lines. Download Excel gives the same schedule as a sheet for reception.

A worked example

Fixed metal braces on both arches, quoted at SAR 12,000 for 18 months, with SAR 3,000 taken at bonding. The balance of 9,000 spread over 18 monthly instalments is SAR 500 a month, the last one falling due in the month the braces should come off.

Set payments to finish three months early and the same 9,000 becomes 15 instalments of SAR 600. The patient pays 100 more a month, and the clinic is owed nothing on the day of debond, which is the day attendance tends to stop. If VAT applies to the case, tick it: at 15% the total becomes 13,800 and the 18 instalments become 600 each.

Retainers are a separate phase with their own cost. Set them as a separate fee and the agreement shows it apart from the instalments, due when active treatment ends, so the patient is not surprised by a second bill at the end.

Why the schedule shows the balance after each payment

A patient who stops in month ten, or moves city, asks the same question: what have I paid and what is left? A running balance on the signed page answers it without a discussion at the front desk, and the terms say how the work already done is set against the money already paid.

Save your design

Without saving, your clinic details, design and templates are cleared when the page reloads. Leave your email and they are kept in this browser from now on, and we will show you how they work in a Dentolize account, on every device and attached to patient files.

The design and clinic details are kept in your own browser only. We receive your email and clinic name only: not the logo, not the signature and nothing about any patient.

Questions

Should the down payment be taken at bonding?

Most clinics take it the day the appliance goes on, because that is when the lab and bracket costs are spent. The calculator puts it on the start date for that reason.

Monthly instalments or one with each visit?

Adjustment visits are usually four to six weeks apart, so instalments every four weeks line up with the visits and are collected at the desk. Monthly dates are easier for patients who pay by transfer. Both are in the calculator.

Why finish the instalments before the end of treatment?

Because once the braces are off, patients have less reason to come back. A plan that is paid up a few months early leaves nothing to chase at debond.

Does the agreement replace a proper contract?

No. The terms are a general starting point to adapt. Review them with your legal adviser, and against your regulator’s rules, before you use them.

Is the patient’s name saved?

No. Patient and case details stay on this page and are gone when you close it. Only your clinic settings, such as currency, VAT rate and terms, are kept, and only after you press Save my design.

Instalments that collect themselves

In Dentolize the orthodontic case carries its own balance and schedule: reception sees what is due at check-in and the patient gets a payment link on WhatsApp. Thirty minutes on your own clinic.
